  • Source Media - We scan microfilm and paper documents as small as receipts or business cards to large engineering drawings.
  • Box - Place your documents in a bankers box for one fixed price. We'll supply you with empty boxes if needed.
  • Pickup - Your boxes of documents will be picked up from your location by a courier or by USPS , FedEx, or UPS.
  • Delivery - Your documents will be scanned at our secure, high-tech conversion center.
  • Prep - We prepare and remove unscanable material such as binder clips, paper clips, post-its, staples, rubber bands, etc.
  • Scan - Our high speed scanners can quickly scan and convert large volumes of records into high resolution digital images.

  • Index - We index or "metatag" each document based on criteria you define. Search indexes later to quickly retrieve a document.
  • File Format - Data2CD supports 36 different file formats. Typically, We can scan and save your documents to either PDF or TIFF image files
  • On Demand Access - Throughout your scanning project you can request to access any any of your documents as they are being prepared for scanning at our facility.
  • Storage - The digital image database can be returned to you on DVD and/or securely stored online in our cloud-based document management application
  • Destroy or Return - Upon completion of your scanning project, choose to have your original paper documents returned or shredded
  • Certified Destruction - Secure shredding with a certificate of compliance

  • Source Media - The source media can be in many different formats such as: 1. Online source, web page 2. Scanned images 3. Physical documents 4. PDF, Word, Excel, HTML, or XML documents
  • Physical Delivery (hard copy) - Project materials sent through courier service, or mail service.
  • Mail Receipt - We provide mail receipt, sorting, and batching for direct mail campaigns, or projects involving large volumes of inbound customer response, or application forms. A PO Box will be setup to receive the mail for your project and picked up daily for processing.
  • Address Validation and Correction - an address validation process is used to assure that address information is accurate, and deliverable. As the address is processed, it is automatically validated against a current US address database and normalized to USPS mailing standards.
  • Mail list cleansing - Customers using mail lists to send large volumes of outbound mail can utilitize our key from image service along with USPS return service to cleanse thier mailing lists before running new mail campaigns. Returned envelopes are scanned and we perform maintanence and updates to your mail lists updates to save printing and postage costs.

  • Document Scanning - Our data entry projects incorporate a "key-from-image" system. The first step in our process is to scan hard copy documents using high-speed scanners. The scanned images are imported into the data entry system and processed. Our content management system assigns a unique identifier to each image, allowing our operators to refer back to the scanned image from which the information was keyed. The scanned images are provided to customers at no cost.
  • Electronic File Delivery (computer file) - fax, email, web site, upload your files on our secure FTP site, remote access to your files through a secure VPN connection, or a web application.
  • Data Entry - Manual data entry is performed using a key-from-image process.
  • 99.9% accuracy - Double verifing can be performed to achieve nearly 100% accuracy rates on the entire process or specified fields. Our operators key same data to generate files A & B. Both files are electronically compared and operators generate files C & D to correct errors. File are compared again to produce final output, file E.
  • Structured Form Data Capture - Computerized recognition technologies, such as Optical Character Recognition (OCR), OMR (e.g. check boxes), and Barcode Recognition can be used when forms are standardized or created with a structured layout.

• On Demand scanning services

  On Demand Scan: Client provides specified source documents to be converted (scanned). The conversion process includes several steps: Media Preparation, Scanning, Quality Control, and Re-Assembly. The Scan on Demand Scan Rate is a flat fee for a fixed number of pages imaged.

  On Demand Scan Plus: Additional rate per image for On Demand scanning beyond the pages included in our On Demand Scan service.

  Turnaround times for On Demand service are customizable and are based on your specific needs.
